BASIC FUNCTION

Supports Senior Vice President (SVP), Quality, Program Director, and Sales and Operations Director, Emergency Medicine Data Institute (EMDI) to implement the EMDI service for customers of ACEP. Manages daily operation and reporting of the clinical data registry sales, marketing, communication, operations, and related quality projects to achieve department objectives and produce assigned deliverables. Leads effort to transform the EMDI sales, marketing, communication, and operational processes to be repeatable, scalable, and cost-effective.

Characteristic Duties and Responsibilities

  1. Under minimal direction, leads the development and improvement of EMDI operations processes, tools, and personnel that results in an operational life cycle that is repeatable, scalable, and cost-effective.

  2. Recommends improvements to the EMDI related sales, marketing, contracting, and communication processes and implements those recommendations with minimal direction from the EMDI Sales and Operations/Program Director.

  3. Makes decisions on all aspects of day-to-day operations of the clinical registry project intake, implementation, and invoicing of customers, including coordination of customer, ACEP, and partner resources and activities.

  4. Acts as a Subject-Matter Expert (SME) on sales, marketing, contracting, communications, operations, and invoicing processes involved in EMDI Data integration.

  5. Leads technical and business discussions with clients on EMDI onboarding, sales, marketing, invoicing, and contracting.

  6. Manages the invoicing and accounts receivable processes for EMDI, including invoice generation, aging, cash flow management, process improvement, and issue resolution.

  7. Works closely with CFO and Technology services to evolve and improve invoicing processes and cashflow outcomes.

  8. Leads integration discussions between Technology Partner, ACEP, and customers to resolve data issues related to invoicing and customer support.

  9. Takes corrective actions for problematic sales, contracts, invoices and operations; resolves conflicts, and escalates issues as appropriate in timely fashion.

  10. Evaluates and recommends sales and operations-specific strategies to the EMDI and Quality leadership, and designated ACEP committees and sections.

  11. Creates and manages tracking and communication tools for stakeholders, including newsletters, webinars, trainings, surveys, websites, presentations, brochures, etc.

  12. Serves as liaison between ACEP, potential and enrolled registry participants, large group organizations, billing, and coding companies, EHR vendors, and funding agencies in conjunction with SVP of Quality, Director of EMDI, and Quality team members.

  13. Collaborates on the development of new partnerships with billing and coding companies, large groups, funding agencies, researchers, and other outreach support as needed.

  14. Provides staff support to the EMDI and Quality and Patient Safety Committee and to the Quality Improvement and Patient Safety section, Emergency Medicine Informatics, ED Information Systems Task Force, Urgent Matters, and others as assigned.

  15. Coordinates and participates in conferences, manages booth and associated collaterals and other marketing related activities for Quality line of business products, services, and offerings. 

  16. Creates technical documentation supporting integration approaches and techniques.

  17. Provides administrative management and continued outreach and engagement for EDs participating in ACEP’s clinical data registry and quality initiatives.

  18. Integrates EMDI program with other ACEP Quality initiatives including E-QUAL, Geriatric ED, Rural ED, Chest Pain, Opioid, and ABEM/MOC-4.

  19. Reviews and supports EMDI project management processes and procedures for effective project execution and communication, including oversight of project management tools used by ACEP and our partners.

  20. Provides administrative oversight for the planning and development of Registry, Quality and Health IT related meetings and other meetings as assigned.

  21. Establishes, maintains and updates systems for communication among staff to facilitate the efficient flow of information relating to projects, activities, and objectives.

  22. Plans and develops project timelines, monitor project milestones, arrange for operational activities to ensure timely completion of projects to achieve departmental objectives and deliverables for funded projects.

  23. Monitors contracts, consulting hours, invoices, travel reimbursements, meeting budgets, and other budgetary and financial information as assigned.

  24. Attends educational and business meetings as assigned, with some travel required.

  25. Performs other duties as assigned by supervisor.

Quality and Patient Safety Committee, Registry Committee, Quality Measures Technical Expert Panel, Quality Improvement and Patient Safety Section, Emergency Medicine Informatics Section, Marketing Committee, ACEP members, medical society staff, vendor and service providers

Required Education and Experience

  1. Bachelor’s Degree in Healthcare, IT, Business or related field or equivalent experience; Master’s degree preferred, such as, MBA or equivalent experience in financial management, specifically in invoicing and cash flow management.

  2. Minimum five years of project management and administration experience including writing reports, expense/budget monitoring, and interactions with internal and external stakeholders.

  3. Computer skills, including strong knowledge of Microsoft Word, Excel, PowerPoint, Access, SharePoint, MS Project, MS Dynamics, SQL, Monday.com and data analytics/statistical tools.

  4. Communications and presentation skills, including facilitation of meetings with external stakeholders and technical teams.

  5. Demonstrated experience in operations, sales, marketing, contracting, and communication.

  6. In depth understanding of invoicing, sales, marketing, communication, and contracting.

  7. Communication experience in system design, website and Sharepoint management, multimedia, and sales/marketing material and specification development.

  8. Supervisory experience.

  1. Previous work experience with health care subject-matter experts, physician organizations, billing and coding, or health policy.

  7. Master’s degree in software engineering.
