| BASIC FUNCTION |
Supports the activities of ACEP sections, collaborating with section staff liaisons, section leaders, and other ACEP staff. Coordinates programs and services to enhance the relationship with sections and their effectiveness. Provides support for Member Interest Groups and engagED, ACEP’s online communities site, to ensure active and robust communities and conversations. Provides administrative support and manages special projects assigned by the Section and Community Engagement Manager |
Section and Interest Group Support:
Tracks the activities and performance of the College’s sections and other special interest groups of membership to ensure compliance with the policies established by the ACEP Board of Directors.
Conducts training for new section liaisons (staff) and assists with training of section leaders (physicians).
Checks in regularly with section staff liaisons to ensure knowledge of their responsibilities and alert them of potential non-compliance. Initiates notification to staff liaisons of upcoming deadlines and outstanding deliverables and sends other communications to ensure the smooth operation of sections and interest groups.
Works with Section & Community Engagement Manager to prepare agendas for Section staff liaison check-in meetings, takes notes and posts follow-up materials, including notes, recordings, reminders, and deadlines.
Prepares agendas for Section Leader Orientation and ongoing Section town hall meetings in cooperation with the Section & Community Engagement Manager, ACEP Board President, and ACEP VP of Membership.
Ensures timely completion of all aspects of the various section programs, including, but not limited to section grants, awards, elections, etc. Tracks discretionary and special funding to ensure that each benefit the requesting sections and the College.
At the request of section staff liaisons, makes updates to the section websites and publishes newsroom articles to ensure timely distribution of section content. Send section newsletters through ACEP’s marketing automation platform upon request.
Ensures the maintenance of up-to-date records of section annual reports, annual meeting minutes, news articles produced; operational guidelines; and incoming and outgoing officers. Ensures update of officer information on section websites after annual meeting elections, and content on the section website, including the Sections Manual.
Serves as a facilitator for section and member interest group development. Works with members interested in starting new interest groups and sections by guiding them through the start-up and approval process.
Serves as back-up section staff liaison in the event of prolonged absence or other interruption of staff coverage.
Online Community Support:
Provides support in the administration of engagED online communities and recommends best practices for community management, moderation policies, and platform content updates.
Works with outside vendor to troubleshoot technical issues, as necessary.
Monitors support email and provides assistance and support in a timely manner for incoming queries and issues related to login, website navigation, and membership.
Provides training to staff and members on basic use of engagED. Proxies as staff or members to post content as requested.
Manages and enforces the moderation and terms of use policies. Administers the moderation queue quickly and efficiently to provide the best possible member experience, escalating as appropriate.
Monitors discussions and responds in a timely fashion where appropriate, or ensures relevant individuals are informed to respond.
Other Duties:
Provides administrative support upon request, including note-taking, meeting scheduling, and proactive tracking of deadlines and follow-up of deliverables for assigned committees and sections.
Attends business and educational meetings as assigned by supervisor.
Performs other duties as assigned by supervisor.

Associate’s degree in business administration, communications, education, or related field, or equivalent work-related experience.
Minimum of 3 years of project management or administrative experience which emphasizes organization skills, awareness of deadlines, proactive communication, and problem solving.
Strong customer service philosophy and ability to deescalate tense situations.
Strong interpersonal, teamwork and communications skills (listening, speaking, writing), in one-on one interactions, and group presentations.
Excellent editing and proofreading skills.
Outstanding computer skills and ability to learn new technologies.
Excellent organizational and time management skills, with a demonstrated capacity to maintain high quality standards and meet deadlines under a heavy workload; and use independent judgment in addressing competing priorities.
Meticulous attention to detail, with demonstrated ability for accuracy, thoroughness and follow through.
The ideal candidate will thrive in a fast-paced environment, be confident in managing multiple competing priorities, and supporting groups of staff and/or volunteers to keep them informed and on track.
Experience working with social media and an online community’s platform, preferably Higher Logic.
Experience working with Microsoft CRM or other Customer Relationship Management System.
Experience working in a content management system (CMS), preferably Episerver.
Experience working with an email marketing platform, preferably ClickDimensions.
