Works with the Business Development team to coordinate all aspects of development, implementation, tracking, and follow-up with corporate supporters and exhibitors |
Performs various detailed administrative functions such as maintenance of department calendars, meeting and teleconference set up, maintains department files, submits purchase requests, maintains office supply inventories, and responds to telephone and email inquiries.
Enters orders, creates invoices, applies payments, and provides receipts for advertisers, exhibitors, sponsors, and other corporate partners using ACEP’s financial management software.
Assists with the entering of exhibitor updates in a2z (or comparable) software program.
Maintains file of updated corporate supporter logos and pictures.
Coordinates compilation, distribution, collection, and analysis of surveys for the corporate development department.
Coordinates preparations for and shipments to meetings, conferences, and exhibit events, including ACEP Scientific Assembly, Accelerate, ACEP Partner Collaborative, and others as assigned. Travels to meetings if assigned.
Using association’s CRM and other sources, maintains rosters, accounts, and contact files; completes advanced search reports, implements workflows, prepares marketing plans, and applies other CRM capabilities as available.
Assists with coordination of ACEP Chapter exhibit and expert theater sponsorship programs.
Assists in preparing departmental reports, including weekly funding and sales reports, payments due, and annual fulfillment reports.
Drafts corporate support contracts and tracks progress toward full execution of contracts in conjunction with ACEP legal counsel.
Tracks and monitors progress of corporate solicitations, progress toward fundraising goals, and reconciles with the Finance Department’s records.
Assists with tracking, monitoring, and implementation of corporate contract deliverables for ACEP to ensure that all benefits and deliverables are fulfilled to meet each supporter’s expectations and the contractual obligations.
Assists Development staff, contractors, and Exhibits Manager in developing and maintaining an up-to-date corporate and exhibit support opportunities overview and catalog.
Coordinates activities and provides support for the implementation of ACEP meeting activations.
Works with other staff members on projects of mutual interest to ensure efficiency within the College.
Performs other duties as assigned by supervisor.

Associate's degree or equivalent work experience.
Five years of related work experience.
Proficiency with Microsoft Office software (in a Windows environment).
Some travel is required. Must be able to work occasional nights and weekends.
Ability to work independently.
Highly organized, detail-oriented, and have initiative.
Ability to interact well with members and clients.
Excellent proofreading and copyediting skills.
Strong verbal and written communication skills.
Experience in working with volunteers.
