BASIC FUNCTION

Assist the ACEP Accreditation Program Leadership with application administrative efforts as directed for each respective accreditation program. Support direct marketing programs to re-enlist emergency department participation in the accreditation programs. Support maintenance and ongoing availability of a user-friendly website/portal for applicant and reviewer use. Support the work of ACEP leaders and other collaborating organizations

Characteristic Duties and Responsibilities

  1. Administrative:

    1. Work with leadership on the implementation of the accreditation operations plan.

    2. Communicate with sites/applications that are seeking initial accreditation or renewal.

    3. Support applicant organizations at any stage of the application process.

    4. Coordinate/schedule meetings with IT to update and refine the application process.

    5. Coordinate website updates as directed by program leadership.

    6. Document and conduct appropriate follow-up of relevant changes reported by accredited organizations as outlined in the terms and conditions.

    7. Provide support to respective accreditation program reviewers, assign reviewers to applications, and coordinate site visits.

    8. Accreditation letter creation and mailings.

    9. Custom site improvement letter creation, including retrieving notes from the Board of Governors (BoG), and mail, printing off certificates, etc.

    10. Provisional Accreditation tracking: Maintain a spreadsheet used to track sites with provisional accreditation.

    11. Communication with the accredited site in the form of initial notification, reminder follow-ups, and receiving the information to be presented to the respective accreditation program BoGs.

    12. Evolution of accreditation renewals. Includes retrieving initial review notes and providing reviewers with a background on improvement suggestions sent with initial accreditation or provisional accreditations.

    13. Send reminders to sites/provisional with required updates.

    14. Field incoming “sales” or “payment” calls.

    15. Assist with open invoice report (bill collecting).

    16. Process applications.

    17. New account set up in CRM.

    18. Scheduling of virtual or in-person site visits and required review calls with sites and reviewers, building out agendas for such meetings.

    19. Schedule other potential calls with sites.

    20. Schedule BoG, Advisory Board, and other partner meetings, along with taking meeting minutes.

  2. Scientific Assembly and Other Conferences:

    1. Assist with ACEP Scientific Assembly and other conference exhibit booth coordination to support accreditation programs.

    2. Assist with ACEP educational opportunities details determined by accreditation leadership.

    3. Schedule and book conference booths and speaker engagements on behalf of accreditation leadership, including the BoGs and Ambassadors.

    4. Schedule annual BoG meeting, attend, and take meeting minutes.

    5. Schedule annual Advisory Board meeting, attend, and take meeting minutes.

    6. Submit pre-conference CME application.

  3. Special Projects:

    1. Manage lead input. Maintain lead spreadsheets and uploads into CRM. This includes working with member services to make sure the hospital/ED is set up in CRM for seamless marketing efforts.

    2. Outreach or research on potential new partners.

    3. Other projects could include help with upgrading sites already accredited.

    4. CME applications.

    5. Help with other accreditation programs as needed.

Healthcare stakeholder organizations, ACEP members, emergency department and hospital staff, staff from other associations and organizations working in the geriatric field

Required Education and Experience

  1. Bachelor’s degree in sales, marketing, communications, education, healthcare, or a related field, or equivalent experience.

  2. Three years of project management-related experience. Accreditation program knowledge a plus.

  3. Effective communications with a high level of accuracy and ability to meet deadlines.

  4. Proficiency with web content management systems, Microsoft products, and databases.

  5. Ability to travel as required.  Anticipate 1–2 times per year, with a duration of 2 to 4 days.

Other Desired Qualifications

  1. Experience with accreditation programs.

  2. Experience with marketing and meeting planning.

  3. Familiarity with spreadsheet software.

  4. Experience in the health care field.

  5. Experience in an emergency department.
