Group Billing for EMRA, ACEP, and Chapter Membership

Being part of group billing for your residents’ EMRA, ACEP, and Chapter memberships is a great way to ensure your residents have everything they need to excel during residency. Benefits and resources include:

How to Get Started

Send the following info to membership@acep.org for each incoming resident:

  • Resident’s full name
  • Resident’s email – Provide their personal email to ensure access after graduation.
  • Year they will complete residency
  • If dual-specialty program, provide the additional specialty.
  • If dual civilian/military program, provide civilian/military status.

Once your residents are in our system, we'll create an invoice and email to the program coordinator.

What happens after an invoice is created?

As soon as an invoice is created, your residents gain immediate access to their EMRA, ACEP and Chapter resources. The EMRA New Member kits require payment of the invoice before shipping. Residents will also receive a welcome email with instructions on how to access their resources and benefits.

 

Paying an Invoice

If you use a third-party payment vendor such as PaymentWorks, please send all change requests to receivables@acep.org. All third-party payment vendors are managed through our Finance Department.

Payment Methods

ACH

ACH is our preferred method for payments. It’s the fastest way to pay your invoice, and ACEP does not incur any processing fees. This means more dollars will go directly to advocating on your behalf.

Credit Card Payments

Make credit card payments by calling our Member Care Team at 888-817-2237. If we are unavailable, leave your contact info and Member Care will call you back. Please don't provide any credit card information on voicemail.

ACEP incurs a 3%-5% credit card processing fee (which we absorb) on all credit card payments, so please use ACH if possible. 

Virtual Credit Card Authorizations 

Send virtual credit card payments to receivables@acep.org, including your invoice number. ACEP incurs a 3%-5% credit card processing fee (which we absorb) on all virtual credit card payments, so please use ACH if possible.

It can take 2–3 weeks for the payment to be applied to the invoice.

 

Common Resident Membership Issues

Resident Can’t Access Their EM:RAP Account

  • The most common reason is that they are trying to access it incorrectly. It is important that they follow the instructions that they received with the welcome email. This is how EM:RAP verifies eligibility. Please download a PDF of the welcome email you can give to your residents. If they try to log in directly from the EM:RAP website, they will get a message that their membership has expired.
  • Another reason is they are trying to log into EM:RAP account using an email that is not associated with their EMRA/ACEP membership.
  • Another common issue is the resident created a second EMRA/ACEP membership record. When a resident tries to log into EM:RAP incorrectly, and they get the message that their membership has expired, they think creating a new EMRA/ACEP membership record will correct the issue. This actually causes more issues. When duplicate records exist, our incredible Member Care Team will need to merge the records, so there is only one active record.   • Some residents will log into EM:RAP correctly, but then think they are being required to pay the subscription fee. EM:RAP does display the cost of a subscription, but the word “free” is displayed just below the price. See the EM:RAP landing page.

Resident Creates New EMRA/ACEP Memberships

Many residents think they need to create a new EMRA/ACEP membership record to show they are moving from medical student to resident. Our system will automatically reclassify them, so there is no need to create new accounts. Creating multiple membership records creates issues when accessing many of their benefits. When duplicate records exist, our Member Care Team will need to merge the records, so there is only one active record. Our Member Care Team can be reached at membership@acep.org.

Note: Incoming interns will be classified as medical students through June 30. Once July 1 rolls around, the system will automatically update them to reflect resident status.
