Web, Marketing, and Communications Manager

Serve as web and communication manager for several ACEP client organizations, maintaining positive relationships with client volunteer leadership and ACEP department teams.  Responsible for managing, monitoring, and recommending improvements for client organizations' marketing efforts across multiple platforms. Develops and manages multiple member communication channels and publications. Provides web editing services to ensure dynamic, timely, and up-to-date content. Leads the production of email, print, video, and digital communications. Curates, develops, and repurposes content for distribution, including social media channels. Assists Management Services staff in other account management activities for client organizations.

Characteristic Duties and Responsibilities

  1. Coordinate resources (both internal and external) to meet the needs of the client organizations.

  2. Creates and manages the deployment of marketing emails, email newsletters and promotional messages in daily news briefs.

  3. Develops and executes promotional and social media campaigns to increase awareness of organization events, member benefits, publications, and conference activities. Coordinates with staff and volunteers to extend social media brand and presence.

  4. Curates and/or creates new and relevant content for organization websites using the CMS, ensures best practices are adopted, including cataloging and organizing of existing resources of interest to the membership. Ensures that website content aligns with the strategic communication goals and implement strategies to keep content fresh and dynamic. Maintains review schedule for editorial content featured on websites and social media channels.

  5. Provides analysis and reporting on key metrics for marketing, communication, and website engagement.

  6. Provides digital graphic art production for all mediums and communication channels and seek out ways to integrate multimedia content, including still images, animation, audio, and video as appropriate.

  7. Drafts and/or edits written communications (e.g., reports, correspondence, guidelines). Oversees video and photography projects including the pre-production work, shooting, and editing to project completion.

  8. Identifies needs for freelance writers, graphic designers, photographers, and videographers.  Request bids and manage projects assigned to them.  Develops and monitors the budgets of these vendor partners.

  9. Serves as the Community Manager across multiple organizations, monitors all community communications and libraries, as well as maintains document repositories and other collaborative sharing portals.

  10. Serves as staff liaison to assigned committees.

  11. Creates templates for slide decks and collates slides for display at meetings.

  12. Assists with marketing by conducting research; building email templates; creating and managing marketing lists; coordinating with printers; utilizing Mailchimp, Click Dimensions, Feathr and other relevant platforms and working with mail houses to distribute marketing pieces; and other activities as assigned. Implements digital event strategy to extend reach of educational courses held at live and virtual meetings.

  13. Develops and manages project plans and budgets, provides copy-editing, solicits, and develops content and manages the production process for assigned publications, including monthly e-newsletters in conjunction with volunteer leadership. Supervise vendors as needed.

  14. Continually monitors emergency medicine, general healthcare topics, workforce issues, medical education (including FOAMed), and residency training, academic teaching environments and other emergency medicine organizations, blogs, and other resources to stay up to date on issues of interest to the membership, identify content for social media posts and appropriately respond to inquiries.

  15. Leads production of materials and applications for educational meetings, including preparing handouts and other materials; updating print, online and mobile application schedules and content; and other activities as assigned.

  16. Prepares and builds conference website and mobile app, working with CRM, Impexium, Episerver/Optimizely, Cvent, and third-party registrars or other systems as needed.

  17. Helps creates the marketing guide or prospectus for exhibitors.

  18. Assists with onsite conference duties including room set up; registration assistance; social events; A/V set up; taking photos or videos; monitoring signage; assisting with exhibits; assists with preparations for and shipments to meetings, conferences, and exhibit events; and other activities as assigned. Travel to meetings as assigned.

  19. Responds to routine telephone and email inquiries from members and others regarding member benefits, events, and services.

  20. Works with other staff members on projects of mutual interest to ensure efficiency within the College.

  21. Perform other duties as assigned by supervisor.

Required Education and Experience

  1. Bachelor’s degree in marketing, communications, public relations or a related field, or equivalent experience.

  2. Three years related experience working in social media channels, websites, and digital publications.

  3. Advanced knowledge of Word, Excel, PowerPoint, Outlook, G-Suite, and virtual meeting platforms such as Zoom and Teams.

  4. Intermediate to advanced understanding of social media platforms (Facebook, Twitter, Instagram, LinkedIn, YouTube).

  5. Basic to Intermediate design skills using Canva or the Adobe Creative Suite (InDesign, Illustrator, and Photoshop).

  6. Basic to advanced understanding of Vimeo, Survey Monkey, Feathr, Association Voting and other platforms.

  7. Ability to work on multiple projects across brands and platforms.

  8. Creativity, attention to detail, and writing skills are all key to the position.

  9. Association and content management systems such as Microsoft CRM, Impexium, Episerver/Optimizely or others.

  10. Working knowledge of HTML and CSS.

  11. Experience with marketing automation platforms such as Mailchimp, ClickDimensions and Sprout Social.

  12. Time management skills and the ability to be flexible in a fast-paced environment.

  13. The ability to work independently and as a team.

  14. Effective communications with a high level of accuracy, including proofreading and editing.

  15. Proficiency with web content management systems, Microsoft products, and databases and a variety of software programs such as desktop publishing; graphics programs and social media applications.

  16. Project management and ability to meet deadlines.

  17. Communicating effectively with a high level of accuracy.

  18. Ability to travel as required. Anticipate three times per year from 2 to 8 days duration.
