BASIC FUNCTION |
Work with internal stakeholders and, at times, external clients, to define and plan how to tackle each project as assigned in support of the Development Team’s work. This entails creating processes to bring projects and effective workflows to fruition. The role will be expected to clearly set and manage expectations, developing a detailed project plan, defining the scope of each project, understanding project risks, and assigning team members to specific tasks. Once certain projects have successful processes in place the Project Manager will be expected to maintain a role in daily tasks such as contracting, data entry and management of contracted deliverables, this will include analytics activities to support the achievement of the Development Team’s objectives. This role is focused on continuous improvement and will be the hub of the Division, coordinating the work of contracted employees with the rest of ACEP. The Project Manager will be responsible for every aspect of each project assigned, including leading a team capable of meeting or exceeding expectations for their vision. The project manager will assemble and manage these individuals to make a fine-tuned project machine. |
Work with cross divisional stakeholders to build efficient systems and processes for successful coordination and completion of the Development Team’s work, creating divisional timelines for sales, marketing, and execution efforts.
Provides project management oversight to ensure timely completion of project objectives. Activities will include aiding internal and external stakeholders to ensure timely delivery of award deliverables related to the Partner Collaborative Summit/Program and ACEP’s major medical meetings.
Manages and oversees workgroups, task forces, and vendors in projects as assigned (webinars, online resource builds, and sponsor activations).
Performs quantitative and qualitative analyses of data sets used in Board reports and in budget planning.
Plans and prepares the ACEP Partner Summit and other key events as assigned.
Collaborates with and develops an understanding of all Development division efforts (e.g., internal/external grant processes, building systems for better use of data analytics, exhibits/sponsorship/advertising opportunities and communications with various healthcare businesses) to help drive and manage the growth of non-dues revenue.
If the teams the Project Manager is overseeing needs guidance, training, or coaching, the Project Manager will set them up for success through providing feedback to the SVP of Business Development.
Develops and owns the system and work to collect all sponsorship contract deliverables.
Owns and performs key administrative tasks for the Division such as the contracting process, coordinating with other divisions proper financial reconciliation and collections.
Responds to inquiries and follows-up on communication in a timely manner, funneling external opportunities to the sales team and ensuring timely follow up occurs.
Identifies problems in workflows and proactively creates more efficient systems.
Attends business and educational meetings as assigned. Some travel may be required to support events.
Performs other duties as assigned.

Bachelor’s degree or equivalent related experience.
PMP or other training and certification strongly preferred.
Experience working in the healthcare field strongly preferred.
Minimum of five years in project management.
Experience and ability managing multiple priorities and deadlines to respond accurately in a reactive environment.
Strong understanding of how to learn about and assess processes to build or change systems for greater efficiency. A strong competency in using technology platforms to achieve these goals is a must.
Ability to demonstrate strong attention to detail.
Possess strong analytical, creative problem-solving and decision-making capabilities with minimal supervision.
Proficient in a Windows environment and with Outlook, Excel, Word, PowerPoint, and Internet searches. Ability to scale quickly in understanding of other software systems.
Ability to handle a range of delegated tasks, work independently, quickly synthesize information, exercise good judgment, prioritize tasks, display personal initiative, and follow through in all areas assigned with good attention to detail, accuracy, and timeliness.
Ability to work successfully in a team environment.
Ability to develop relationships with co-workers and employees in other departments through effective communication.
