BASIC FUNCTION

Under the supervision of the Director of NEMPAC and Grassroots Advocacy, perform administrative and management tasks in support of NEMPAC and the 911 Grassroots Advocacy Network; serve as contact and resource for ACEP membership, federal candidate campaigns, health, and business organizations, 911 Legislative Network members, NEMPAC donors & health industry PACs, and the public. 

Characteristic Duties and Responsibilities

  1. Manage ACEP Advocacy and NEMPAC websites including creating, editing, and posting content in a timely manner. Proactively seek updated content from ACEP staff, members, and other outside sources.

  2. Design and manage innovative solicitation campaigns to increase NEMPAC receipts to $1 million + and proactively grow ACEP member participation on an annual basis. Maintain annual NEMPAC editorial calendar to adhere to deadlines and work in close consultation with fundraising consultants.

  3. Manage fulfillment and recognition responsibilities for all NEMPAC donors, including development and implementation of programs to cultivate and retain VIPs and Resident.

  4. Assist in the creation and posting of messaging based on ACEP’s legislative priorities and agenda for social media platforms for ACEP’s legislative and grassroots advocacy; coordinate efforts with ACEP lobbyists and PR team; remain current on trends in social media for advocacy.

  5. Develop and manage recruitment campaigns for the ACEP 911 Grassroots Network and ACEP Advocacy Leaders including utilization of software communication tools; maintain member lists and distribute to state chapters; lead coordination with ACEP members and state chapter staff and members to schedule virtual, in district meetings, and ED visits for legislators including preparation and distribution of materials for hosting physicians.

  6. Engage in planning and execution of the ACEP Annual Leadership and Advocacy Conference including coordination with registration and meetings departments, agenda planning, speaker coordination, marketing, scheduling Hill Visits for conference attendees, and other duties as assigned.

  7. Contribute, compile, and edit information for preparation and distribution of NEMPAC electronic newsletter to contributors; prepare and distribute electronic version of 911 Network Weekly Update.

  8. Assist with planning and staffing NEMPAC receptions at LAC and ACEP Scientific Assembly and other NEMPAC related activities at SA and LAC including the Hospitality Suite, Exhibit Hall, and Council activities.

  9. Coordinate and contribute to regular meetings and updates with PAC software vendor support team and PAC fundraising and grassroots advocacy consultants.

  10. Support NEMPAC Board of Trustees and other committees, task force and section activities as assigned, including preparation of minutes, correspondence, and reports; compiling and distributing meeting materials; arranging conference calls.

  11. Use sound judgment to articulate ACEP’s legislative policies at hearings, meetings, candidate meet and greets, and fundraisers as assigned by Senior Director of Political Affairs & Grassroots Advocacy and provide reports of those proceedings. Represent ACEP/NEMPAC at physician specialty coalitions for PAC and grassroots coordinated activities, and at national PAC and grassroots conferences as assigned.

  12. Maintain confidential information regarding ACEP members’ contribution history to NEMPAC and political affiliations and relationships when operating and updating NEMPAC database and responding to member requests.

  13. Perform other duties and tasks as assigned by the Supervisor.

ACEP staff members in Chapter and State Relations, Communications, Marketing, EMRA, Finance, Membership, Technology Services and the DC Operations Manager and Congressional Lobbyists

External Contacts:

ACEP members, Federal Government Affairs Committee members, NEMPAC Board of Trustees, chapter executives, medical societies, campaigns, coalitions, national party committees, PAC and grassroots compliance software vendors, fundraising consulting vendors, and other health & business organizations as required

Required Education and Experience

  1. Bachelor’s degree in political science or related field, or equivalent related work experience.

  2. Five to seven years PAC fundraising and administrative experience, with additional experience in grassroots advocacy or government affairs with a trade/membership association or corporation.

  3. Thorough knowledge of FEC guidelines and regulations pertaining to federal PACs.

  4. Proficient in a Windows environment and with Outlook, and familiar with Excel, Word, PowerPoint, Internet research, and grassroots/PAC database software and website maintenance.

  5. Proficient in Facebook, Twitter, Instagram, and other social media platforms for use in government advocacy.

  6. Political campaign, congressional staff and/or healthcare industry experience a plus.

  1. Previous work experience in busy, high-pressure office settings in government, trade associations, or administrative offices in non-profit institutions.

  2. Ability to manage a range of delegated tasks, work independently, exercise good judgment, prioritize tasks, display personal initiatives, and follow through in all areas assigned with diligence, accuracy, and timeliness.

  3. Excellent written and oral communication skills.

  4. Dependable, responsible, and resourceful.

  5. Cooperative, tactful, and able to work under pressure.

  6. Must be willing to occasionally work outside of normal business hours to attend PAC related events.
