BASIC FUNCTION |
Assist the Sr. Accreditation Manager with operations and administrative efforts of the Geriatric Emergency Department Accreditation (GEDA) program. Perform application assignments, create deadlines, track progress, communicate with application sites, coordinate with reviewers, assist with implementation of process improvement strategies, and monitor workflows and progress. Support maintenance and ongoing availability of a user-friendly website/portal for applicant and reviewer use. Support the work of ACEP leaders and other collaborating organizations such as the West Health Institute (WHI) and the John A. Hartford Foundation (JAHF) to ensure the success of the accreditation program. |
Operations:
Manage application submission deadlines and communicate with applicants in process.
Support applicant organizations at any stage of the application process.
Work with Sr. Accreditation Manager on application assignments such as updating each level of applications based on Board of Governors’ approval and application IT transformation.
Utilize Monday.com or other Project Management tools to organize and track applications effectively.
Create and distribute monthly status reports for stakeholders.
Coordinate and meet with IT to update and refine the application process.
Identify and resolve application issues.
Coordinate implementation of process improvement strategies.
Track GEDA program progress quarterly and annually, monitor site metrics to provide information on the program impact.
Monitor workflows and progress of GEDA reviewers and Board of Governors workload.
Document and conduct appropriate follow-up of relevant changes reported by accredited organizations as outlined in the terms and conditions.
Provide support to GEDA reviewers, assign reviewers to applications, coordinate site visits.
Accreditation letter creation and mailings.
Custom site improvement letter creation (includes retrieving notes from BOG) and mail, printing off certificates, etc.
Communication with the accredited site in the form of initial notification, reminder follow-ups, and receiving the information to be presented to the GEDA BOG.
Coordinate GEDA website updates.
Field in-coming “sales” calls.
Assist with open invoice report (bill collecting).
Coordinate and schedule virtual or in-person site visits and required review calls with sites and reviewers, building out agendas for such meetings.
Schedule other potential calls with sites.
Scientific Assembly and Other Conferences:
Assist with ACEP SA pre-conference details determined by supervisor.
Prepare reports and collateral pieces for on-site visibility determined by supervisor.
Special Projects:
Manage lead input. Maintain lead spreadsheets and uploads into CRM. Ensure the hospital/ED is set up in CRM so marketing efforts can be seamless.
Outreach or research on potential new partners.
Provide task force/committee support to Sr Accreditation Manager.
Other projects as assigned by supervisor.
Ensure satisfaction with stakeholders.

GED stakeholder organizations, ACEP members, emergency department and hospital staff, staff from other associations and organizations working in the geriatric field |
Bachelor’s degree in operations, project management, sales, marketing, communications, education, healthcare, or a related field, or equivalent experience.
Five years project management related experience. Accreditation program knowledge a plus.
Proven self-management and team-management skills
Effective communications with a high-level of accuracy and ability to meet deadlines.
Proficiency with web content management systems, Microsoft products, and databases.
Ability to travel as required. Anticipate 1–2 times per year from 2 to 4 days duration.
Great social and communication skills.
PMP certification a huge plus.
Experience with accreditation programs.
Experience with marketing.
Familiarity with spreadsheet software.
Experience in the health care field.
Experience in an emergency department.
