BASIC FUNCTION

Works part-time with Educational Meetings to assist and support educational programming, data entry, coordination, and documentation efforts and will also work part-time with the Exhibit Sales team to coordinate aspects of development, implementation, tracking and follow up with exhibitors

Characteristic Duties and Responsibilities

  1. Educational Meetings Department:

    1. Assist in planning and coordinating educational meetings, including maintaining databases, faculty communications, virtual meeting setups, and reviewing educational function orders.

    2. Serve as a point of contact for faculty, helping with session materials, presentation submissions, and tracking deadlines.

    3. Maintain accurate records of educational materials, including uploading presentations, tracking faculty deliverables, and ensuring compliance with ACCME guidelines.

    4. Draft and distribute communications to faculty and attendees, including reminders, confirmations, and event-related updates.

    5. Prepare agendas and meeting minutes, ensuring timely distribution to relevant stakeholders.

    6. Provide administrative support during onsite events as needed.

    7. Assist in processing team invoices and expenses.

    8. Facilitate the creation, collection, analysis, documentation, and distribution of survey feedback.

  2. Exhibit Sales Department:

    1. Perform various detailed administrative functions such as submitting purchase requests, responding to telephone and email inquiries.

    2. Enter orders, create invoices, apply payments, and provide receipts for advertisers, exhibitors, sponsors, and other corporate partners using ACEP’s financial management software.

    3. Enter exhibitor updates in a2z software program.

    4. Manage fulfillment of mailing list requests from exhibitors.

    5. Coordinate preparations for and shipments to meetings, conferences and exhibit events.

    6. Using association’s CRM and other sources, maintain rosters, account and contact files, complete advanced search reports, implement workflows, prepare marketing plans and apply other CRM capabilities as available.

    7. Creation and maintenance of tracking spreadsheets.

  3. Work with other staff members on projects of mutual interest to ensure efficiency within the College.

  4. Promptly addresses internal and external requests across communication channels.

  5. Perform other duties as assigned by supervisor.

Corporate sponsors and exhibitors; ACEP members and leaders; ACEP Chapter leaders

Required Education and Experience

  1. High school diploma or equivalent experience.

  2. Minimum of two years of relevant work experience.

  3. Proficient in Microsoft Office Suite within a Windows environment.

  4. Willingness to travel as needed, with the ability to work occasional evenings and weekends.
