BASIC FUNCTION

Provide administrative support to ensure efficient operation of the office for the Executive Director of CORD and other CORD Staff. Serve as a resource to the Council of Residency Director in EM (CORD) Boards, committees, volunteers, and members.

Characteristic Duties and Responsibilities

  1. Assist with coordinating meeting registrations and travel reservations for various meetings for volunteers as needed.

  2. Assist with shipping and receiving for Academic Assembly and other meetings as needed.

  3. In collaboration with other staff, provide administrative coordination and support for various projects.

  4. Monitor planning schedule/calendar/project management software related to AA and other projects/events.

  5. Oversee ordering of meeting materials such as badge supplies, equipment, awards, and other items as requested.

  6. Assist with CORD Connects as needed.

  7. Support managing speaker process for various educational events including AA, regional meetings as well as any new offerings, including reminders, CME disclosures, presentation management, and expense/honoraria forms.

  8. Assist with setting up meeting management software and related to educational offerings.

  9. Coordinate 1st time attendee recognition and experience at Academic Assembly.

  10. Administer conference and course evaluation process.

  11. Administer CME certificate or credit distribution to attendees.

  12. Coordinate abstract submissions and uploading to abstract management platform.

  13. Support onsite Academic Assembly registration, CORD Cares events, SWAG shop, Dine-Arounds and other activities at Academic Assembly or other meetings.

  14. Assist with exhibit and speaker management onsite.

  15. Develop and coordinate content and materials for onsite guide for AA in coordination with Website and Communications Manager.

  16. Perform duties as required to assist in implementing the strategic plan.

  17. Schedule and attend committee meetings, organizing and distributing minutes.

  18. Assist Meetings Manager with sourcing and verifying costs for activities related to educational programs.

  19. Collaborate across the team on projects and tasks as needed to assure successful implementation.

  20. Perform other duties as assigned by supervisor.

Managed Orgs Coordinator, Managed Orgs Meeting Manager, Managed Orgs Operations Manager. Various ACEP staff

External Contacts:

CORD Board of Directors; CORD Committee leaders; CORD members; other emergency medicine associations (including ACEP, SAEM, EMRA, AAEM, AAEM/RSA, ABEM, and others) accrediting institutions (ACGME, AOA, AAMC and others), hospitals, vendors, physician groups, universities, faculty, public and government-related medical entities

Required Education and Experience

  1. Bachelor’s degree in communications, journalism or a related field, or equivalent experience.

  2. Three years of administrative experience.

  3. Detail oriented with critical thinking skills.

  4. Highly organized and have initiative.

  5. Effective written and verbal communications with a high level of accuracy, including proofreading and editing.

  6. Proficiency with Microsoft products (Word, Excel, Outlook, and PowerPoint) and databases and a variety of software programs.

  7. Project management skills and ability to meet deadlines.

  8. Ability to work independently and with a team.

  9. Ability to travel. Anticipate 1–2 times per year from 2 to 8 days duration.

  2. Experience with Photoshop, Publisher, or other design software.
