BASIC FUNCTION

Provide administrative support to ensure efficient operation of the office for the Executive Director of CORD and other CORD Staff. Serve as a resource to the Council of Residency Director in EM (CORD) Boards, committees, volunteers and members

Characteristic Duties and Responsibilities

  1. Provides administrative support to the Executive Director including but not limited to ordering supplies, tracking the ordering of periodicals and related materials, formatting and editing reports, scheduling appointments, maintaining the Executive Director and Organization calendars, coordinate travel arrangements such as booking flights, cars, and hotel or restaurant reservations. Creates and submits expense reports for corporate credit card and serves as administrator to multiple communities.

  2. Serves as the primary contact for phone, email and chat support. Answer phones, greet visitors, responds to routine telephone and email inquiries from members and others regarding member benefits, events, and services.

  3. Facilitates communication with CORD Board of Directors and CORD committees, sections, task forces, members and others with activities such as collecting, tabulating, and analyzing data; drafting reports; distributing reports; setting up calls, writing and distributing agendas, preparing and writing accurate minutes, and other meeting notices. Serves as staff liaison for assigned committees.

  4. Maintains CORD Association Management Systems and member database, which includes form development; volunteer, grant, award and membership applications; board elections; project proposal submissions; and various reports and analysis.

  5. Maintains and updates eOral project by providing first line training, tech support, ongoing program support, contract renewal and billing to member programs.

  6. Completes the invoicing of CORD members for membership payment and renewal, subscriptions (i.e., eOral and EM Coach) and renewals and processes payments for all invoices.

  7. Assists with the performance of pre-conference duties including coordination of speaker release forms, handouts, schedule, contracts, overviews & objectives; A/V needs; coordination with meeting planner; ordering supplies; packing; shipping; preparing registration packets; setting up electronic evaluations; sourcing and ordering of supplies and equipment needed for educational events and workshops; set up of registration software for onsite check in and other activities as assigned.

  8. Performs onsite conference duties for CORD including room set up; set up of network and equipment for onsite registration check in; coordinating all registration activities; assisting with social events; distributing, collecting and/or monitoring evaluations; A/V set up; assisting with exhibits; and other activities as assigned.

  9. Ensures post-conference deliverables are fulfilled, including processing CME certificates; evaluation results and analysis; assists in drafting ACCME final reports; attendance statistics; processing reimbursements and final invoicing as needed.

  10. Assists with the coordination of abstract submissions, review, selection, compilation of scores and notifications for Academic Assembly. Ensure poster display is accurate and meets the expectations of the event. Prepare abstract files for web content and print distribution through publication partners.

  11. Maintains eSLOE project by setting up individual programs and users; provide ongoing support and troubleshooting.

  12. Monitors and provides information and statistics as needed on the status of projects, programs, membership and conferences.

  13. Utilize ReQlogic to create and receive purchase orders, purchase requisitions, invoices and other expenses.

  14. Assist with preparations for and shipments to meetings, conferences and exhibit events. Travel to meetings if assigned.

  15. Perform other duties as assigned by supervisor.

ACEP/CORD Board of Directors; ACEP/CORD Committee leaders; ACEP/CORD members; other emergency medicine associations (including ACEP, SAEM, EMRA, AAEM, AAEM/RSA, ABEM, and others) accrediting institutions (ACGME, AOA, AAMC and others), chapters, hospitals, vendors, physician groups, universities, faculty, public and government-related medical entities

Required Education and Experience

  1. High school diploma or equivalent.

  2. Five years of related experience including meeting deadlines, proofreading, editing; working with content management systems, Microsoft software and databases; and project management.

  3. Communicating effectively with a high level of accuracy.

  4. Ability to travel as required. Anticipate 4 times per year from 2 to 8 days duration.

Other Desired Qualifications

  1. Ability to adapt to changing priorities and schedules.

  2. Understanding of medical terminology.

  3. Experience with Photoshop, Publisher or other design software.

  4. Experience with HTML.

  5. Experience setting up computer/wireless networks.

  6. Experience and knowledge in healthcare.

  7. Ability to work independently.

  8. Highly organized, detail-oriented and have initiative.

  9. Ability to interact well with members and clients.

  10. Strong verbal and written communications skills.

  11. Experience in working with volunteers.

  12. Degree or some college level courses.
