BASIC FUNCTION |
Supports programs and services to enhance the relationship with components and their effectiveness. Serves as a primary internal and external liaison to support administrative functions of the chapter and section framework. Manages special projects assigned by the Senior Manager, Member and Component Relations. |
Section and Interest Group Support
Works with the Membership Committee, Board liaisons and staff liaisons to review section performance to ensure the delivery of member value and provides support and guidance where needed. Makes recommendations to the Board for the transition of member interest groups to sections and vice-versa.
Organizes training for new section liaisons (staff) and section leaders (physicians). Facilitates ongoing networking and sharing of best practices by section leaders virtually and at major ACEP meetings.
Schedules and leads regular meetings to discuss with liaisons their responsibilities. Initiates notification to staff liaisons of upcoming deadlines and outstanding projects, and sends other communications to ensure the smooth operation of sections and interest groups.
Collaborates with Marketing & Communications to design and implement recruitment and retention campaigns designed to grow the number of total section memberships and unique section members; continuously strives to increase the value of sections and interest groups to the membership.
Effectively manages all aspects of the various section programs including, but not limited to, section grants, awards, discretionary and special funding to ensure that each benefit sections and the College. Works independently with the Membership Committee, Board liaison, and staff to ensure that the programs run smoothly.
Oversees the production and distribution of section newsroom content, and maintenance of websites, working with staff liaisons.
Ensures the maintenance of up-to-date records of section annual reports, annual meeting minutes, news articles produced; operational guidelines; and incoming and outgoing officers. Ensures update of officer information on section microsites after annual meeting elections, and content on the section website, including the Section's Manual.
Serves as a facilitator for section and member interest group development. Works with members interested in starting new interest groups and sections by guiding them through the start-up and approval process.
Serves as staff liaison to one or more sections and as back up in the event of prolonged absence or other interruption of staff coverage.
Component Support
Serves as initial point of contact for chapter needs, works internally to connect chapters to the right resource and track issues through to resolution.
Coordinates residency program visits and leader visits with chapters, as resources allow.
Assists chapters as needed to enhance and strengthen chapter operations and effectiveness.
Communicates upcoming deadlines and requested deliverables to chapters and follows up to ensure completion. Oversees the collection and compilation of compliance information and quarterly chapter updates.
In collaboration with chapter leaders and appropriate ACEP staff, ensures the preparation and distribution of quarterly chapter newsletters and maintenance of chapter websites for chapters utilizing these services through ACEP.
Ensures the maintenance of up-to-date records of incoming and outgoing chapter staff and chapter leaders.
Organizes training for new chapter executives (staff) and chapter leaders (physicians).
Assists with the planning and preparation of agendas and minutes for key meetings, such as the Chapter Executive and Chapter Leader sessions at the Leadership and Advocacy Conference and Scientific Assembly.
Assists with the development, implementation, and monitoring of assigned budgets.
Attends business and educational meetings as assigned by supervisor.
Performs other duties as assigned by supervisor.

Bachelor’s degree in business administration, communications, education, or related field, or equivalent work-related experience.
Minimum of 3 years of project management or related experience which emphasizes organization skills, awareness of deadlines, ability to lead a cross-functional team, proactive communication, and problem-solving. The ideal candidate will thrive in a fast-paced environment, be confident in managing multiple competing priorities, leading meetings, and managing and training groups of staff and/or volunteers to keep them informed and on track.
Certified Association Executive (CAE) preferred.
Strong interpersonal, teamwork and communications skills (listening, speaking, writing), in one-on-one interactions, and group presentations.
Excellent organizational and time management skills, with a demonstrated capacity to maintain high quality standards and meet deadlines under a heavy workload; and use independent judgment in addressing competing priorities.
Meticulous attention to detail, with demonstrated ability for accuracy, thoroughness and follow through.
Strong commitment to exceptional customer service and maintenance of confidential information.
Excellent editing and proofreading skills.
Ability to develop, monitor and work within budgets.
Experience in association management, or working with member volunteers.
Experience planning events and seminars.
Proficiency in Microsoft Office.
Experience working with social media and an online communities platform, preferably Higher Logic.
Experience working with Microsoft CRM or other Customer Relationship Management System.
Experience working in a content management system (CMS), preferably Episerver.
Experience working with an email marketing platform, preferably ClickDimensions.
Basic to Intermediate design skills using Canva or the Adobe Creative Suite (InDesign, Illustrator, and Photoshop).
