BASIC FUNCTION |
Serve as Executive Director to assigned ACEP managed chapter clients. Maintain basic knowledge of best practices in association management, tax and filing requirements, legal and financial considerations, membership recruitment and retention, event planning, and marketing. Build strong relationships with team members, ACEP staff, and volunteer leaders to provide exemplary service to all managed chapter clients |
Act as chapter executive for assigned ACEP chapter clients, providing strategic and operational support for the growth of the chapter.
Serve as primary liaison to Chapter Boards of Directors and leadership. Develop and distribute agendas for all board and committee meetings and prepare supporting materials for ACEP chapter clients. Participate in Board and committee meetings as requested. Ensure that accurate records of minutes and transactions of the Board of Directors, Committees and other chapter meetings are maintained.
Assure fiscal responsibility for all client activities including budget preparation, oversight, and reporting. Disburse authorized funds using established procedures to ensure ACEP chapter clients have control over chapter funds; allocate expenditures to proper expense categories, and in collaboration with ACEP Finance Department process all payables and receivables in a timely manner while providing expense justifications. Ensure investment guidelines are met, and regular reporting is provided on chapter investment accounts.
Working with other ACEP staff or vendors, oversee the corporate responsibilities of the chapter clients including tax filings, IRS designations, chapter bylaws, policy compendiums and other governing documents. Implement, monitor, and update policies as adopted by respective Chapter Boards.
Manage a chapter’s PAC, where appropriate, overseeing lobbyist, ensuring proper reporting, raising PAC funds through marketing campaigns, communicating with committee and/or leader overseeing PAC activities, maintaining financial reporting and account, issue checks for PAC activities and other duties as it relates to a chapter’s PAC.
Ensure effective operations of assigned chapters including elections, meetings, budget preparation, leader visits, orientation of new officers, annual reporting due to national, communications, and membership marketing. Work with Chapter President to ensure the development and implementation of the chapter’s strategic plan, as requested.
Establish and implement active efforts to maintain and grow membership for ACEP's chapter clients.
Manage chapter and member communications, including the development and routine updating of chapter websites, newsletters, social media, and other communication efforts.
Actively recommend new options for consideration by ACEP chapter clients and their Board of Directors to increase revenue, improve member services, and increase organizational effectiveness.
Maintain and grow non-dues revenue for ACEP chapter clients, including securing and further develop corporate sponsor relationships, exhibitors, advertising opportunities, and other strategic partnerships.
Plan, implement, evaluate, and provide oversight of chapter meetings and conferences. Source venues, conduct site visits, negotiate contracts for meetings and vendor space. As necessary, travel to and attend multiple chapter business meetings and conferences to ensure successful implementation.
Serve as backup to other managed chapters staff, as required.

Minimum of high school diploma (some college preferred) and at least five years of professional work experience with progressive responsibilities.
Confident using basic office software applications; experience with customer relationship software (CRM) or association management software strongly preferred.
Experience updating websites via content management software (i.e. WordPress, etc.) preferred.
Well-developed interpersonal skills and strong work ethics.
Ability to remain calm under pressure and deescalate chapter leaders when required.
Strong organizational and time management skills.
Demonstrated oral and written communication skills.
Ability to travel at a minimum of 5 times per year for periods ranging from 1 to 6 days.
Bachelor's degree in management, education, communications, health care or related field.
Minimum of three years’ experience in association or nonprofit management.
Meeting planning experience desired.
Marketing and communication experience desired.
Experience managing multiple clients and providing exceptional customer service.
Certified Association Executive (CAE) strongly preferred.
