Grant Manager


Grant and Foundation Development


Manages federal, foundation and corporate grant-related projects, tasks, and
activities; ensures grant programmatic and financial compliance requirements are
met; supports the work of ACEP staff and members, assists in the development
of proposal narratives and budgets.

Characteristic Duties and Responsibilities

  1. Manages subject matter experts (SME), staff and vendors in the development of educational and training products, including lectures, videos, webinars, podcasts and online education. Assists in
    preparing the ACEP/AMA CME/CE application process for these courses.

  2. Supports the development of evidence-based practice resource tools, including obtaining quotes on app development, managing the work of an expert panel, and preparation of working

  3. Develops updates and communications on grant-funded projects including preparation of initial drafts and reports and coordination with staff to prepare and distribute final product.

  4. Plans and prepares for grant workgroup meetings including drafting of correspondence; preparation of minutes, quarterly reports, rosters, and agendas; meeting preparation, compilation and distribution of meeting materials, coordinating conference calls/Zoom meetings and travel arrangements; and monitoring and summarizing progress on projects.

  5. Provides on-going award monitoring while working closely with chief financial officer, legal department, project directors and project managers to ensure that ACEP is in compliance with all award administrative, legal, financial and programmatic regulations and requirements to avoid federal audit finding, disallowed costs, or other negative legal, financial or contractual repercussions. Tracks and maintains grant expenditures, provides financial forecasting, budget
    modification and revisions.

  6. Provides administrative support for grant projects including drafting, editing, and proofreading reports and correspondence; creation, development and maintenance of project databases and spreadsheets; develops subcontracts with SMEs and vendors; processes invoices and requests for payment; submits financial and programmatic reports; communicates with grant stakeholders; file maintenance; compiles information needed for communications; tracks and maintains grant
    expenditures, provides financial forecasting, budget modification and revisions.

  7. Monitors progress of grant projects, communicates deadlines with project managers, and works with project managers and the Finance department to develop appropriate reports for funding
    agencies and staff.

  8. Attends business and educational meetings as required.

  9. Performs other duties as assigned by supervisor.

Internal Contacts:

Division and department directors, particularly in the Clinical Practice and Quality Divisions; Finance, and Technology Services Departments

External Contacts:

Federal contract officers, federal project officers, foundation staff, corporate staff, other subcontractor staff, and ACEP members

Required Education and Experience

  1. BA or BS in a related field or equivalent related experience
  2. Two years of grants management and/or project management experience and managing multiple priorities
  3. Personal computer skills including spreadsheets and word processing

Other Desired Qualifications

  1. Experience managing large and complex government grants
  2. Understanding of medical society management
  3. Understanding of emergency medicine
  4. Degree or certification in project management
