BASIC FUNCTION

Coordinates activities and performs administrative functions for the Senior Director, Workforce and Emergency Medicine Practice and other managers/senior managers in the Clinical Affairs division. Provides support for committees, sections, and task forces.

Characteristic Duties and Responsibilities

  1. Provides secretarial and administrative support for the Senior Director of Workforce and Emergency Practice and other managers/senior managers in the Clinical Affairs division, including drafting correspondence; screening/responding to telephone calls; maintaining filing; and compiling information from various sources. Provides information to emails and calls as appropriate on the status and content of department activities and related issues. Coordinates, performs, and assures timely and efficient completion of projects, printing, purchase and check requisitions, word processing, expense reports, mailings, and distribution.

  2. Assists with committees, sections, and task forces including drafting of correspondence, preparation of minutes, quarterly and annual reports, rosters, and agendas; meeting arrangements including catering and hotel; compilation and distribution of meeting materials; scheduling and planning conference calls; coordinating work on committee objectives; handling travel arrangements; and assisting with the preparation of section newsletters.

  3. Assists with ACEP workforce initiatives, including drafting of correspondence, preparation of minutes, rosters, and agendas; meeting arrangements including catering and hotel; compilation and distribution of meeting materials; assisting with tracking project progress; and scheduling and planning conference calls.

  4. Provides administrative support for grant projects managed by the Senior Director, Workforce and Emergency Medicine Practice including scheduling conference calls, drafting minutes, rosters, and reports; assisting with tracking project progress; and communicating with the grant funding organizations and co-grantees.

  5. Performs other duties as assigned by supervisor.

Clinical Affairs staff, Academic Affairs staff, EMS staff, Staff Services staff, and Technology Services staff

External Contacts:

ACEP members, ACEP Board of Directors and Council Officers, committee, section, and task force members, project participants, other medical associations and organizations, grant funding organizations, and co-grantees.

Required Education and Experience

  1. High school diploma or equivalent

  2. Accurate secretarial skills including word processing and typing 50 wpm

  3. Three years related administrative experience including handling client/member requests and problems, writing correspondence, and project organization and coordination.

  4. Thorough knowledge and familiarity working with Microsoft Office applications
