Grants and Meetings Manager 2

BASIC FUNCTION Manages federal, foundation and corporate grant-related projects, tasks, and activities; ensures grant programmatic and financial compliance requirements are met; supports ACEP staff and members involved in the grant projects. Plans and manages the development, promotion, implementation, and evaluation of the Research Forum and EMBRS workshop.

Characteristic Duties and Responsibilities

  1. Manages faculty, subject matter experts (SME), staff and vendors in the development of educational and training products, including lectures, videos, webinars, apps, podcasts, and online education.

  2. Plans and manages the development, promotion, and evaluation of the Research Forum and EMBRS.

  3. Develops, updates, and communicates on projects including preparation of initial reports and coordination with project staff to prepare and distribute final reports/products.

  4. Plans and prepares for meetings and events including drafting of correspondence; overseeing registration; preparation of minutes, quarterly reports, rosters, and agendas; preparation, compilation, and distribution of meeting materials, managing conference calls and travel arrangements.

  5. Provides on-going grant/contract award monitoring while working closely with chief financial officer, legal department, project directors and project managers to ensure that ACEP is in compliance with all award administrative, legal, financial and programmatic regulations and requirements to avoid federal audit findings, disallowed costs, or other negative legal, financial or contractual repercussions. Works closely with project directors, project manager and financial staff to compile, analyze, prepare, and submit budget forecasts and new fiscal year budgets.

  6. Provides administrative support; including developing subcontracts with faculty, SMEs, and vendors; processing invoices and requests for payment; submitting financial and programmatic reports; communication with stakeholders; file maintenance; and compiling information needed for communications. 

  7. Manages the CME application process for assigned meetings and programming. Maintains working knowledge of ACCME guidelines that affect CME certification and credit.

  8. Attends business and educational meetings as required.

  9. Performs other duties as assigned by supervisor.

Reports to:

Senior Manager, Academic Affairs

Division and department directors, particularly in the Practice Management Division; and Finance and Technology Services Departments

External Contacts

Federal contract officers, federal project officers, Foundation staff, Corporate staff, subcontractors, ACEP members and ACEP organizational partners

Required Education and Experience

  1. BA or BS in a related field or equivalent related experience
  2. Three years of grants management and/or project management experience including written and oral presentations and managing multiple priorities
  3. Personal computer skills including spreadsheets and word processing
  4. Organizing and coordinating multiple projects simultaneously without close supervision

Other Desired Qualifications 

  1. Experience managing large and complex government grants

  2. Understanding of medical society management

  3. Understanding of emergency medicine

  4. Degree or certification in project management

  5. Master’s degree

  6. Certified Meeting Professional

  7. Continuing Medical Education (CME) experience

  8. Experience with editing software
