Grants and Foundation Development

BASIC FUNCTION Coordinates grant and corporate funded projects, tasks, and activities; ensures programmatic and financial compliance requirements are managed; supports the work of the development team and project directors.

Characteristic Duties and Responsibilities


  1. Manages administrative development of online and live physician and task forces. Handles the ACEP/AMA CME/CE application process for these courses.

  2. Assists project manager with developing questionnaires and surveys; drafting project findings; coordinates distribution of information to appropriate internal and external contacts; accesses and distributes information available from other databases.

  3. Work with legal department to route contracts and secure signatures.

  4. Plans and prepares for grant project workgroups and task forces including drafting of correspondence; preparation of minutes, quarterly reports, rosters, and agendas; compilation and distribution of materials including preparation of meeting notebooks; conference call and travel arrangements.

  5. Provides administrative support for grant projects including drafting, editing, and proofreading reports and correspondence; creation, development and maintenance of project databases and spreadsheets; processing invoices and requests for payment; submitting financial and programmatic reports; communication with grant stakeholders; file maintenance and project documentation; and compiling information needed for communications. 

  6. Monitors progress of grant projects, communicates deadlines with project managers, and works with project managers and the Finance department to develop appropriate reports for funding agencies and staff and auditors.

  7. Manages meeting planning and logistics for on-site and out-of-town meetings involving representatives of ACEP, other stakeholder organizations and funding agencies involved in the grant projects.  Develops travel and honorarium reimbursement authorization letters, 990 forms, and checks distribution.

  8. Assist with InnovatED and Scientific Assembly activities.

  9. Assist the Grant Development and Corporate Directors in researching funding opportunities.

  10. Travels to business and educational meetings as required.

  11. Performs other duties as assigned by supervisor.

Reports to:

Senior Manager, Development and Special Projects

Internal Contacts:

Division and department directors, particularly in the Practice Management, Quality Improvement, Finance, Legal, Meetings and Technology Services

External Contacts:

Federal contract officers, federal project officers, corporate staff, other subcontractor staff, and ACEP members

Required Education and Experience

  1. BA or BS in a related field or equivalent related experience

  2. Two years of project coordination experience, including managing multiple priorities and contractors/consultants

  3. Computer skills including spreadsheets and word processing

  4. Strong communication skills with both internal and external stakeholders  


Other Desired Qualifications

  1. Experience coordinating government, corporate and foundation grant projects

  2. Understanding of medical society management

  3. Understanding of emergency medicine

  4. Experience submitting grants and/or reports in online portals
