EMRA Membership and Operations Coordinator

BASIC FUNCTION Develop and implement integrated strategies to increase and sustain EMRA membership. Responsible for EMRA member relations including member kit distribution, extraordinary member service and member segmentation to personalize messages. Also responsible for overseeing the day-to-day operations and administration of the Association.

Characteristic Duties and Responsibilities

  1. Manage EMRA’s member relations efforts and resolve problems/issues with members in a timely and accurate manner.

  2. Leverage the CRM and Nucleus systems to develop and monitor recruitment and retention tracking measures and report results to supervisor as requested.

  3. Create a strategy and manage creation and distribution of EMRA new member kits to individuals and through residency programs.  Manage vendor to fulfill new member kits to ensure kits are distributed on time and on budget.  Ensure distribution lists are accurate. Ensure all components of the kit are procured on time and on budget.

  4. Create a strategy and manage creation and distribution of EMRA kits to emergency medicine interest groups (EMIG). Manage vendor to fulfill EMIG kits to ensure kits are distributed in a timely manner and within budget.

  5. Using association’s CRM, complete advanced search reports, implement workflows and be responsible for pulling lists for member emails, new member kits and 100% EMRAfied lists weekly. Mail requested resources, including missing publications or member kits, to members in a timely manner.

  6. Create a strategy and manage publication inventory, in-house and with Amazon to ensure EMRA has accurate inventory to fulfill new member kits and EMIG kits.  Provide timely and accurate inventory reports to supervisor and the Finance Department.  Based on these reports, recommend when new inventory should be produced. 

  7. Create and execute a strategy to manage the Fulfill by Amazon program and Amazon inventory. Ensure Amazon fulfillment meets Amazon delivery and inventory criteria.

  8. Manage EMRA list rental processes and ensure that mailing lists meet the needs of the sponsor, are accurate and revenue is collected in a timely manner.

  9. Analyze and improve organizational processes, and work to improve the quality, productivity, and efficiency of the Association. Create, implement, and maintain operational policies and procedures to ensure access to resources and standardized operations.

  10. Using the Open Water platform, manage EMRA’s Awards programs including recruitment of reviewers and developing accurate rubrics.

  11. Manage EMRA’s accounts payable efforts including providing financial and administrative support to the Association including processing and reconciling credit cards, invoices, and payments.

  12. Using the Open Water platform, manage EMRA’s Regional Meeting Grant program.

  13. Create the strategy and manage the EMRA Committee Chair, Chair Elect and Vice Chair program to ensure the application process is user friendly, ensure application documents are compiled in a timely manner for consideration by the Review Committee and that notifications are accurate and sent in a timely manner.  Ensure confidentiality is maintained.

  14. Support the EMRA Rep to ACEP Committee program to ensure the application process is user friendly, ensure application documents are compiled in a timely manner for consideration by the Review Committee and that notifications are accurate and sent in a timely manner.  Ensure confidentiality is maintained.

  15. Create the strategy and manage the Medical Student Council selection program to ensure the application process is user friendly, ensure application documents are compiled in a timely manner for consideration by the Review Committee and that notifications are accurate and sent in a timely manner. Ensure confidentiality is maintained.

  16. Manage and distribute member reimbursements in a timely manner. Maintain accurate Committee leader information on emra.org.

  17. Serve as staff liaison to the EMRA Committees as assigned by providing orientation and advice to Chair and members; coordinating and supporting efficient committee meetings and activities; preparing appropriate background information and tracking committee actions; identifying potential problems; advising Executive Director and monitoring committee compliance with EMRA policies and procedures. 

  18. Assist with preparations for and shipments to education, social, and business meetings. Provide assistance for volunteer participation in state/local/national events as assigned.

  19. Ensure EMRA Match data is kept up to date and support the EMRA Match strategy. Reach out to stakeholders annually to update their Match profiles.

  20. Perform other duties as assigned by supervisor.

Required Education and Experience

  1. High school diploma
  2. Five years related work experience in administrative, marketing or project management
  3. Project management and association member care experience
  4. Experience with Microsoft Office software, specifically Excel (in a Windows environment)
  5. Experience in CRM and data retrieval
  6. Strong verbal and written communications skills
  7. Some travel required.  Must be able to work occasional nights and weekends
