ED Visit Checklist

Hospital Administration

  • Notify the ED Director and hospital administration of the ED visit and obtain necessary internal permissions.
  • Review necessary confidentiality requirements and other administrative/legal requirements related to the event.
  • Discuss the possible news media support (if desired by Member of Congress).

Member of Congress

  • Send meeting request in writing (see sample letter).
  • Follow-up with congressional office to secure time and date for your ED visit.
  • Obtain signed confidentiality agreements and any other administrative forms required by your hospital.
  • After the ED visit:  send a thank-you letter and copies of photographs from the visit (if available).

Emergency Department

  • Inform staff of ED visit (invite other emergency physicians, residents, etc. to participate as appropriate).
  • Assign roles to participating staff for tour and sit-down meeting, including greetings, tour route, and issue discussion.
  • Coordinate other logistics such as photographer, lab coats, refreshments, etc.
  • Prepare meeting agenda and talking points.

ACEP

  • Inform ACEP of your ED visit, time, location and participants.
  • Request any additional information regarding ACEP legislative priorities or background information on your legislator such as voting records, congressional bio, etc. to the ACEP office.
  • After the ED visit:  complete and return an Event Report Follow-up Form, copies of photographs from the visit, and copies of news media clippings.
